Trusted 800+ Providers MGMA 2026 Corporate Member HIPAA-Trained SOC 2 Type II BAA Signed $5M E&O and Cyber Liability
You find trusted WellSky outsourcing services by checking three things: the team works inside your own WellSky system under named logins you control, a Business Associate Agreement is signed before anyone touches a record, and production is reported to you daily. Staffingly staffs that model across the WellSky family: dedicated remote specialists who run referral and client intake, caregiver scheduling and shift fill, EVV exception cleanup, Medicaid waiver authorizations, PDGM billing and NOA tracking, hospice NOE and cap tracking, and AR follow-up. Staff train on the real screens agencies use, from the WellSky Home Health HotBox to WellSky Personal Care telephony timecards, and work under signed Business Associate Agreements at a flat weekly fee per specialist, never a percentage of your collections. Our specialists work US business hours inside your own systems, under named, auditable logins, with BAAs executed and HIPAA-trained staff.
The Platform

What Is WellSky?

WellSky is one of the largest post-acute and community care software companies in the United States. It began as Mediware Information Systems, founded in 1980, and took the WellSky name in September 2018 after bringing more than 30 healthcare and human services software brands under one roof. Two of those brands matter most to home-based care agencies: Kinnser Software, acquired in 2017, whose Agency Manager product became WellSky Home Health, and ClearCare, acquired in 2019 and renamed WellSky Personal Care in September 2021. Mediware’s own homecare products, CPR+, Fastrack, HomeCareNet, Caretinuum, and MestaMed, were folded into the CareTend platform, now WellSky CareTend, which serves home infusion and HME providers.

That history explains why “WellSky” means different software to different agencies. A Medicare-certified home health agency logs into a system built on Kinnser, with the HotBox task list and OASIS review workflows. A private duty agency logs into a system built on ClearCare, with telephony clock-ins and the Family Room portal. A hospice runs WellSky Hospice & Palliative, and larger agencies layer WellSky CareInsights predictive analytics on top. Each product generates its own daily queues, and those queues are exactly the work this service staffs.

One Company, Several Platforms

Which WellSky Is Your Agency Running?

WellSky Home Health (the former Kinnser Agency Manager) runs Medicare-certified skilled care: OASIS assessments, 30-day PDGM payment periods, NOA submissions, and visit scheduling. WellSky Personal Care (the former ClearCare) runs non-medical and private duty care: caregiver matching, shift schedules, telephony and GPS clock-ins for EVV, and private-pay invoicing. WellSky Hospice & Palliative runs end-of-life care with IDG documentation, NOE filing, and cap tracking. Many multi-service agencies run two of these side by side, which is where a single outsourced team covering both books earns its keep.

Still searching by the old names? Kinnser became WellSky Home Health and ClearCare became WellSky Personal Care. If your team still says “Kinnser” or “ClearCare”, the workflows on this page are the same workflows; only the login screen branding changed.
Fit

Who Is This For?

Agencies that run on WellSky and are losing staff hours to it: Medicare-certified home health agencies working PDGM periods and OASIS queues, private duty and personal care agencies juggling open shifts and EVV exceptions, hospices tracking NOE deadlines and cap exposure, and multi-service organizations running more than one WellSky product. It fits a single-branch agency that needs one trained coordinator as well as a multi-state group that needs a billing desk plus a scheduling pod.

The Problem

Where WellSky Agencies Lose Time and Money

EVV exceptions quietly hold up Medicaid claims.

Missed clock-ins, GPS mismatches, and manual visit edits leave visits unverified in WellSky. Unverified visits cannot bill, and the exception queue grows while everyone is busy scheduling.

See the fix
A deleted face-to-face document blocks billing silently.

In WellSky home health workflows, a face-to-face encounter document that gets deleted or detached stops the claim behind it with no loud alarm. The period sits unbilled until someone notices.

See the fix
NOAs miss the 30-day window.

Medicare’s Notice of Admission must be filed within 30 days of the start of care. Each late day reduces the payment for the period, and a busy intake desk is how late days happen.

See the fix
Open shifts eat the coordinator’s evening.

A caregiver calls out at 6 a.m., and the scramble begins: calls, texts, and shift offers until someone accepts. Meanwhile the day’s other schedule changes stack up unworked.

How Staffingly Supports Your Agency on WellSky

Referral and Client Intake

Our team works new referrals from hospital discharge planners, physicians, and families into clean WellSky records: demographics, payer and plan detail, authorizations on file, and the documents the first visit depends on. For home health that includes start-of-care coordination so the SOC visit is scheduled inside the required window; for personal care it includes client intake and service agreement follow-up. The benefit is a referral desk that answers fast, because referral sources send the next patient to whoever responded first on the last one.

Scheduling and Shift Fill

Dedicated schedulers maintain the calendar in your WellSky system: building caregiver and clinician schedules, matching skills and availability, confirming visits, working call-outs, and offering open shifts until they are covered. We keep a dedicated page on this workflow, WellSky home care scheduling support, and related coverage for after-hours scheduling when call-outs do not respect business hours.

EVV and Medicaid Authorizations

Electronic Visit Verification only pays when the visit record is clean. Our specialists work the exception queue daily: reconciling missed clock-ins and clock-outs, resolving GPS and telephony mismatches per your state’s rules, and documenting manual edits so unverified visits stop blocking Medicaid claims. On the authorization side, we track waiver and personal care authorization units against the schedule, so visits are not delivered past the authorized amount and renewals are requested before units run out.

Home Health Billing: PDGM and NOA

Under PDGM, every patient generates 30-day payment periods, and every admission needs a Notice of Admission filed on time. Dedicated billers work this cycle inside WellSky Home Health: NOA submission and status tracking, claim generation once documentation requirements are met, watching for face-to-face documents that block claims, and follow-up on periods that have not billed. The full service scope lives on our home health PDGM billing page.

Hospice Billing: NOE and Cap Tracking

Hospice billing punishes late paperwork: the Notice of Election must reach the payer within 5 calendar days of admission, or the days before filing become provider-liable. Our hospice desk files and tracks NOEs, supports eligibility and certification workflows, monitors aggregate cap exposure through the year, and keeps recertification dates from arriving as surprises, all inside your WellSky hospice system.

OASIS and Documentation Coordination

We do not make clinical judgments; we make sure the clinical documents move. That means chasing incomplete visit notes, tracking OASIS assessments through review so billing is not waiting on QA, routing physician orders for signature, and keeping the documentation status of each patient visible to your clinical manager. See OASIS-E1 documentation support and visit note documentation for the deeper scope. The boundary between administrative coordination and clinical work is written into the SOW.

Personal Care Operations

For agencies on WellSky Personal Care, the daily grind is operational: verified telephony timecards that need review before payroll, private-pay invoices that need to go out on schedule, caregiver compliance items that expire, and family questions that deserve a same-day answer. Our coordinators run these queues in your system, so the office team can spend its hours on caregivers and clients instead of timecard forensics. For private duty agencies we also cover private duty scheduling end to end.

AR Follow-Up and Reporting

Someone has to work the aging report every week, not just run it. Our AR specialists post remittances, reconcile deposits, chase unpaid periods and invoices by payer, document every touch, and hand your administrator a weekly picture of where the money is stuck and why. Payment posting detail lives on our payment posting and ERA reconciliation page, and denial work on denial management.

How Our Teams Train and Go Live on WellSky

Staffingly specialist working inside a client's WellSky system

Specialists assigned to a WellSky agency train before they produce: our SOP library for home-based care workflows, live training sessions on your agency’s own procedures, and supervised production with QA review before anyone works independently. Each specialist signs an individual HIPAA agreement and works under named, auditable WellSky credentials that you grant and can revoke, never shared logins. A trained backup shadows each account so coverage continues through vacations and departures at no extra charge.

Why Staffingly

Why Outsource WellSky Work, and Why Staffingly

One team across the WellSky family.

Most vendors sell one slice: a scheduler or a biller. We staff across Home Health, Personal Care, and Hospice workflows, so a multi-service agency does not need three vendors for one software company.

Flat fee, never a percentage.

Home-based care margins are thin. Our pricing is a flat weekly fee per dedicated specialist, so every efficiency gain accrues to your agency instead of scaling our invoice with your revenue.

Post-acute fluency.

PDGM periods, NOA and NOE deadlines, OASIS-E1, EVV exception rules, waiver units: this vocabulary is our staff’s daily work across home care and long-term care clients, not a side specialty.

Speed with proof.

Most teams go live in about 14 days. 2-Week Free Trial. Replace any team member in 48 hours. 800+ providers served, 4.9 Google rating you can verify on our listing.
