Staffingly’s InSync outsourcing service is a dedicated remote team that works inside your own InSync system (InSync Healthcare Solutions, now a Qualifacts platform) to run new client intake, the scheduler, behavioral health benefits verification, prior authorizations, claims and billing, telehealth session coordination, and reporting. Staff train on your practice’s own InSync configuration, from your dynamic intake forms and encounter workflows to claim reconciliation, and they work under signed Business Associate Agreements at a flat weekly fee per specialist, never a percentage of your collections. Our specialists work US business hours inside your own systems, under named, auditable logins, with BAAs executed and HIPAA-trained staff.
The Platform

What Is InSync Healthcare Solutions?

InSync is a combined EHR and practice management platform aimed at small and mid-size behavioral health practices and agencies: mental health groups, therapy practices, psychiatry, and addiction treatment programs. Its signature is configurability. Practices build their own dynamic forms and encounter notes rather than working from fixed templates, and the same system carries the scheduler, telehealth, ePrescribing with EPCS support, a patient portal, claims and revenue cycle tools, and reporting dashboards. InSync Healthcare Solutions was acquired by Qualifacts in 2021, and the product now runs in the Qualifacts family alongside CareLogic and Credible.

That configurability is exactly why InSync practices feel the admin weight. Someone has to keep the intake packets moving, work the scheduler, verify behavioral health benefits payer by payer, chase authorizations, scrub and reconcile claims, and actually read the dashboards. In a clinician-heavy practice those jobs land between sessions or after hours, and the backlog compounds. We staff those jobs so your configuration finally runs the way it was set up to.

Fit

Who Is This For?

Behavioral health organizations that run on InSync and are short on administrative hands: therapy and counseling group practices, psychiatry and medication management practices, addiction treatment and SUD programs, and multi-site behavioral health agencies. It fits a small group that needs one trained InSync assistant covering intake and benefits, and it fits an agency that needs a full billing desk plus a front-office pod.

A note for practices on Medicaid panels. Many InSync agencies carry heavy Medicaid and managed care books, where behavioral billing rules differ state by state and margins are thin. Our flat weekly pricing was built for exactly that math: predictable cost per specialist, no percentage taken off already-thin reimbursements. See how practices stay viable on Medicaid panels.
The Problem

Where InSync Practices Lose Time and Money

Intake calls go to voicemail while everyone is in session.

Therapy hours are exactly when new clients call. If nobody owns the phone and the intake queue in InSync, those clients book with whoever answers first.

See the fix
Eligibility checks miss session limits and carve-outs.

An automated 271 says active coverage. It does not say the plan carves behavioral health out to another administrator or caps sessions at 20. The claim finds out for you.

See the fix
Claims deny even when coverage was active.

Carve-outs, authorization mismatches, and payer edits produce denials on clients who were verified. Without dedicated follow-up in InSync, those denials age past appeal windows.

See the fix
Medicaid behavioral billing changes at every state line.

Agencies billing Medicaid and managed care face state-specific codes, modifiers, and documentation rules. One biller cannot hold all of it alone, and turnover resets the learning curve.

How Staffingly Supports Your Practice on InSync

Intake and New Client Onboarding

Our team answers and returns intake calls in your practice’s name, screens for fit against your clinician roster, sends your practice’s own dynamic intake forms from InSync, chases incomplete packets and consents, and gets new clients from first contact to a scheduled first session without the queue stalling. Because InSync forms are practice-configured, we train on your packet, not a generic one, and we log every inquiry so you can see conversion, not guess at it.

Scheduler and Telehealth Coordination

We run the InSync scheduler day to day: building and maintaining recurring session series, filling cancellations from the waitlist, confirming appointments, and coordinating telehealth sessions so clients arrive connected, consented, and on time. For hybrid practices we keep office, telehealth, and group session calendars from colliding, and we watch no-show patterns clinician by clinician so the no-show rate actually drops instead of just getting discussed.

Eligibility and Benefits Verification

Before session one, we verify what behavioral health coverage really looks like: carve-out administrators, session limits, telehealth benefits, prior authorization requirements, and the client’s true copay or coinsurance for therapy versus medication management. Coverage detail gets entered into InSync correctly the first time, so claims go out against verified benefits instead of assumptions, and clients hear about their costs before the first session rather than in a statement.

Prior Authorization for Psych and SUD Services

We prepare, submit, and track the authorizations behavioral health payers demand: psychological testing, higher levels of care and their concurrent reviews, addiction treatment services, and payer-specific medication rules including step therapy documentation. Approved units and expiration dates are recorded in InSync and reviewed weekly against the schedule, so sessions are far less likely to be delivered past an expired authorization and renewals go out before the payer’s deadline, not after a denial.

Claims, Billing, and Reconciliation

Can you outsource InSync billing? Yes. Dedicated billers work claims end to end inside your system: charge entry review, claim scrubbing and submission, rejection work, remittance posting and reconciliation, patient statements, AR and aging follow-up, and denial appeals with behavioral health specifics like E/M plus psychotherapy add-on rules handled correctly by payer. Daily production reporting shows you exactly what was billed, posted, and appealed.

Patient Portal and Communication

We onboard clients to the InSync patient portal, triage inbound portal messages to the right clinician or desk the same day, follow up on unsigned forms and unpaid balances, and handle appointment-change requests so they never sit unread. Portal messages in a behavioral health practice can carry clinical urgency, so our triage runbook defines exactly who owns each message type and what gets escalated to a clinician immediately.

Refill Queues and Documentation Admin

For psychiatry and medication management practices, we work the administrative side of prescriptions and paperwork: routing refill requests to the prescriber with chart context attached, tracking pharmacy callbacks including stimulant shortage calls, chasing expiring consents and treatment plan review dates, and keeping unsigned-note reports clean for supervisors. Clinical decisions stay with your prescribers; the boundary is written into the SOW.

Reports, Dashboards, and Admin

InSync’s dashboards and reports only help if somebody reads them on a schedule. We own that schedule: unbilled encounter reports, unsigned documentation, AR aging by payer, authorization utilization, no-show trends, and caseload views, delivered to your inbox with the exceptions flagged. When a clinician’s encounters stop turning into claims, you hear about it that week, not at quarter close.

How Our Teams Train and Go Live on InSync

Staffingly specialist working inside a client's InSync system

Because every InSync installation is configured differently, training starts with your build: your forms, your encounter types, your billing rules. Your team documents each workflow into a written runbook during onboarding, trains on your SOPs alongside the vendor’s published guides, and works supervised by a senior lead through go-live. A trained backup shadows the account from day one at no charge, so coverage does not hinge on a single person, and quality checks run against the runbook, not memory. Every specialist works under an individual HIPAA agreement with named, auditable InSync credentials, never shared logins.

Why Staffingly

Why Outsource InSync Work, and Why Staffingly

One team for the whole system.

Billing companies take the claims and leave you the intake queue. We staff the entire administrative surface of an InSync practice: intake, scheduler, benefits, authorizations, portal, billing, and reporting.

Flat fee, never a percentage.

Behavioral health RCM vendors typically price as a percentage of collections. Our fee is a flat weekly rate per dedicated specialist, which matters most on thin Medicaid and managed care margins.

Behavioral health is our lane.

Our published casework includes a behavioral health eligibility case study, a behavioral health RCM case study, and an ongoing behavioral health billing engagement journal.

FAQ

InSync Outsourcing: Frequently Asked Questions

What tasks can a virtual assistant do in InSync?

Intake call handling and new client onboarding, dynamic intake form follow-up, scheduler management, telehealth session coordination, behavioral health benefits verification, prior authorization tracking, claim scrubbing and posting, portal message triage, refill request routing, and report delivery. Anything administrative inside InSync screens, a trained remote assistant can own.

Can you outsource InSync billing?

Yes. Dedicated billers work inside your InSync: charge review, scrubbing, submission, rejection work, remittance posting and reconciliation, denial appeals, AR, and statements, with daily production reporting.

InSync is now owned by Qualifacts. Does that affect this service?

No. We are an independent outsourcing company with no vendor relationship to protect. Our teams work inside whatever InSync version and configuration your practice runs, and if you ever migrate platforms, the same team retrains on the new system.

Our InSync forms are heavily customized. Can your team learn them?

Yes, that is the norm, not the exception. During onboarding we document your forms, encounter types, and billing rules into a written runbook, train against it, and keep it updated as your configuration changes.

How do your staff access our InSync system?

Through named individual user accounts you approve, with role-based permissions, MFA, and full audit logging. No shared logins, no offline exports of PHI.

How fast can a dedicated InSync team start?

Typically live in 14 days: access setup, workflow training on your configuration and SOPs, then supervised production. The engagement starts with a 2-Week Free Trial.

Is outsourced InSync work secure and HIPAA-ready?

HIPAA-trained staff, executed BAAs, workflows designed to support HIPAA compliance, SOC 2 Type II, ISO 27001:2022, and $5M in coverage. Full detail on our security page.

Which practice types does this fit?

InSync-heavy settings: therapy and counseling groups, psychiatry and medication management practices, addiction treatment and SUD programs, and multi-site behavioral health agencies on Medicaid and managed care panels.
