The top DaySmart Vet outsourcing services put a dedicated remote team inside your practice’s own DaySmart Vet account, working your schedule, your client list, and your invoices instead of pulling work into a call center you cannot see. Staffingly staffs that model for veterinary practices: trained team members who run the front desk, confirm appointments, answer client messages, triage the refill queue for your veterinarians’ approval, keep inventory counts honest, and tie out invoices, all inside DaySmart Vet, under signed Business Associate Agreements, at a flat weekly fee per specialist, never a percentage of your collections. Our specialists work US business hours inside your own systems, under named, auditable logins, with BAAs executed and HIPAA-trained staff.
The Platform

What Is DaySmart Vet?

DaySmart Vet is the cloud practice management platform that began life as Vetter Software, founded in 2011 in Redwood City, California. DaySmart Software acquired Vetter in February 2021 and folded it into its business management suite under the DaySmart Vet name. Today the vendor reports more than 2,500 practices and 21,000 veterinary professionals on the platform worldwide. The product bundles scheduling and front desk tools, SOAP-note medical records, DaySmart Payments, client communications by email, text, and a pet parent app, inventory management, and a Reporting and Insights suite, with newer additions such as the Daisy voice AI.

The catch is that a cloud PIMS multiplies the places work can pile up. The appointment book, the confirmation queue, the two-way text inbox, the refill requests, the unpaid invoice list, and the reorder report all refresh faster than a short-staffed front desk can clear them, and the phone keeps ringing over all of it. DaySmart Vet organizes the work; someone still has to do it. That is the gap this service closes.

Still call it Vetter? You are in the right place. Vetter Software became DaySmart Vet after the February 2021 acquisition, and many teams that adopted it before then still search by the old name. Same platform, same cloud workflows; our team supports practices from either era of the product.
Fit

Who Is This For?

Practices that run on DaySmart Vet and are losing clinical hours to admin work: small animal clinics where the front desk doubles as the billing office, equine and mobile practices whose staff are on the road while messages stack up, emergency hospitals juggling walk-ins and callbacks, and multi-location groups that need consistent scheduling and inventory habits across sites. It fits a solo practice that needs one trained assistant just as well as a group that needs a remote pod covering phones, records, and reordering.

The Problem

Where Veterinary Front Desks Lose Time and Money

Calls go unanswered while the lobby is full.

Every missed call is a missed appointment, a delayed refill, or a client who tries the clinic down the road. Few practices measure how many they lose.

See the fix
No-shows eat the schedule quietly.

Confirmations and reminders exist in DaySmart Vet, but they only work when someone owns the queue daily and calls the clients who ignore the text.

See the fix
The callback list rolls over every night.

Lab results, refill confirmations, and follow-up calls wait behind whatever walks in the door. The backlog compounds until clients start calling to complain.

See the fix
CSR turnover resets the clock.

Each departure means weeks of retraining on the PIMS, the protocols, and the clients. The practices that break the cycle stop making one person carry all of it.

How Staffingly Supports Your Practice on DaySmart Vet

Front Desk and Scheduling

Our team works your DaySmart Vet appointment book the way your best CSR would: booking and rescheduling in the scheduling module, keeping provider columns and room resources tidy, prepping the next day’s schedule, and answering routine client questions in your practice’s name. The benefit is a calendar that stays full and accurate even on the days your on-site team is short, so your veterinarians walk into an organized day instead of a triage exercise.

Client Communication and Reminders

DaySmart Vet gives you email, two-way texting, and a pet parent app; our team makes sure a human is actually behind them. We work the confirmation and reminder queues, answer inbound texts, chase the clients who do not respond, run recall outreach for overdue vaccines and wellness visits, and log every touch in the record. Fewer no-shows, faster answers, and clients who feel like the practice remembers them.

Patient Records and Chart Upkeep

We keep the administrative side of your DaySmart Vet records clean: new client and patient setup, demographics and contact updates, attaching lab results and referral documents to the right chart, merging duplicates, and keeping reminder settings accurate. Clinical judgment stays with your team; we make sure the chart your veterinarian opens is complete, current, and findable.

Prescription Refill Queues

Refill requests arrive by phone, text, portal, and third-party pharmacy fax, and they stack up fast. Our team triages the queue in DaySmart Vet: verifying the patient and medication, checking that the visit history supports a refill under your practice’s VCPR policy, preparing the request for your veterinarian’s approval, and coordinating with the pharmacy once it is authorized. Approval stays with your DVM in every case; the paperwork around it stops consuming your techs.

Invoicing and Payments

We keep charges honest and current: building and reviewing invoices in DaySmart Vet, checking that services performed made it onto the bill, posting payments taken through DaySmart Payments, following up on declined cards and open balances, and reconciling the day before close. Missed charges are one of the quietest revenue leaks in veterinary medicine; a dedicated person watching the invoice list is the simplest fix.

Inventory and Supply Chain

DaySmart Vet tracks inventory in real time, but reorder points, cycle counts, and receiving still need an owner. Our team maintains item records, watches quantities against your par levels, prepares purchase orders for approval, reconciles received orders against invoices, and flags shrinkage patterns so you see them monthly instead of at year-end count. Your shelves stay stocked without your techs playing warehouse manager.

Pet Insurance and Records Requests

Pet insurance claims and records requests interrupt checkout and pull staff off the desk. We compile the visit records, invoices, and history the insurer or the requesting clinic needs from DaySmart Vet, send them through your approved channels, and track each request to completion, so a records request stops being a twenty-minute detour for whoever happens to be at the desk.

Reporting and End-of-Day Admin

The Reporting and Insights suite in DaySmart Vet only earns its keep if someone runs it. We produce the reports your practice manager actually reads: daily reconciliation, open invoices, appointment fill rates, reminder compliance, and inventory movement, on a calendar, in your format. Ends of day close on time, and the numbers that signal trouble surface while they are still small.

How Our Teams Train and Go Live on DaySmart Vet

Staffingly specialist working inside a client's DaySmart Vet system

Before anyone touches your system, new team members study our SOP library for cloud veterinary workflows, then train on your own DaySmart Vet setup in live sessions with your staff: your appointment types, your reminder protocols, your refill policy, your inventory par levels. Production starts supervised, with a senior team member reviewing output daily, and you receive a production report every evening in your format. Every specialist works under an individual confidentiality and security agreement with named DaySmart Vet credentials, never shared logins.

Why Staffingly

Why Outsource DaySmart Vet Work, and Why Staffingly

One team for the whole practice.

Answering services cover phones. Billing firms cover invoices. We staff across the workflow: front desk, communication, refills, records, inventory, and reporting, so work stops falling between vendors.

Flat fee, never a percentage.

A flat weekly fee per dedicated specialist. No per-call charges, no per-claim charges, no percentage of your collections. The math stays simple as your practice grows.

Veterinary-native workflows.

Recall outreach, VCPR-aware refill triage, pet insurance records requests, cycle counts, and purchase orders. This is the work our veterinary service line is built around, not a medical script with the nouns swapped.

Speed with proof.

Most teams go live in about 14 days. 2-Week Free Trial. A trained backup steps in at no charge. 800+ providers served, with a 4.9 Google rating you can verify on our listing.

Practice Types

Practice Types We Support on DaySmart Vet

DaySmart Vet’s own footprint spans small animal clinics, equine practices, mobile veterinarians, emergency hospitals, multi-location groups, specialty care, and shelter medicine, and our staffing model flexes the same way. A mobile practice might need one assistant answering calls and texts while the veterinarian drives; an emergency hospital might need overnight admin coverage for records and callbacks; a multi-location group might need one remote pod enforcing the same scheduling and inventory habits at every site.
