Can You Outsource Casamba Billing and Scheduling Work?
Yes. Dedicated HIPAA-trained teams support therapy and post-acute organizations from the Casamba era, whether you still sign in to a Casamba-hosted system, moved to Optima after the 2022 sunset, or run one of the former Casamba Home & Hospice products. Flat weekly pricing from $299 per FTE (volume based), with a trained backup included at no charge. Live in 14 days.
What Happened to Casamba?
Casamba, founded in 1997, built therapy EMRs used across contract therapy, skilled nursing, outpatient clinics, and home health and hospice: Casamba Skilled, Casamba Clinic and TherapySource, and Casamba Home & Hospice. Net Health acquired the company in 2021 and reorganized the portfolio. Casamba Skilled was retired in March 2022, with facilities moved to Optima for Skilled Nursing. Clinic customers were consolidated onto TherapySource under the Net Health name, and some organizations still sign in through Casamba-hosted addresses today. In January 2023 Net Health sold the home health and hospice line, built on the HealthWyse and Hospicesoft products, to Careficient.
The practical consequence: teams that ran Casamba for years now work across two or three vendor relationships, retrained staff, and in many cases a migration that landed on the front office, not the vendor. This page covers the work we staff for those teams, whichever branch of the family tree you sit on.
Who Is This For?
Three groups, honestly named. SNF rehab departments and contract therapy companies that came off Casamba Skilled and now run Optima across their buildings. Outpatient therapy clinics on TherapySource or another successor system, including those still using Casamba-hosted logins. And home health and hospice agencies from the Casamba Home & Hospice line now dealing with Careficient-era platform decisions. Therapy clinic readers should know this page sits in our Home Care & LTC library; the clinic-specific billing services we link below live in our medical services catalog and cover outpatient PT, OT, and SLP practices directly.
Where Casamba-Era Teams Lose Time and Money
Moving from Casamba Skilled to Optima meant data validation, retraining, and parallel systems, done by the same people who still had a full day of scheduling and billing. Enrollment and setup gaps from that era still block claims.
See the fixRejections come back in payer shorthand and sit while staff cover the desk. Timely filing windows do not pause for platform transitions.
See the fixA clean 271 response confirms the plan is active, not how many visits remain. The denial arrives after the care was delivered.
See the fixMA plans deny SNF and therapy claims that traditional Medicare would pay. Without a dedicated appeal desk, winnable dollars get written off.
See the fixTherapy Scheduling and Documentation Support
Whether your rehab department now schedules in Optima or your clinic still works in TherapySource, our team owns the administrative loop: building and adjusting therapist schedules as census and caseloads move, tracking planned versus delivered treatment time, chasing unsigned notes and missed-visit documentation before they hold claims, and preparing the caseload views your director reads each morning. Clinical judgment stays with your therapists; the boundary is written into the SOW.
SNF Billing After the Casamba Skilled Sunset
Facilities that moved from Casamba Skilled to Optima kept the same billing obligations with a new system underneath them. Our billers keep Medicare Part A PDPM claims moving through triple-check, watch consolidated billing exclusions, and keep UB-04 and 837I submissions clean across Medicare, Medicaid, and MA plans, in the system you run today.
Outpatient Clinic Billing for TherapySource Practices
Outpatient PT, OT, and SLP clinics from the Casamba Clinic era carry a different workload: visit-limit tracking, plan-of-care authorizations, modifier-sensitive claims, and patient balances. Dedicated billers work those queues end to end, and our clinic-facing service pages cover the specialty detail: physical therapy billing and occupational therapy billing.
Eligibility and Benefits Before the Visit
We verify coverage before care is delivered, not after the denial: benefit days and prior stay history for SNF admissions, therapy visit limits and plan-of-care requirements for clinics, and LTC eligibility checks that go past the bare 271 response. Payer answers get logged with reference numbers so a dispute six months later has a paper trail.
Former Casamba Home & Hospice Agencies
If your agency ran Casamba Home & Hospice, the HealthWyse heritage line, your vendor is now Careficient, and your deadlines did not move: PDGM claims, NOAs, hospice NOEs, and hospice billing compliance all run on payer clocks. Our teams keep those queues current through a platform handoff and stay on afterward, working in whichever system holds the live record.
Denials, AR, and Continuity Through Change
Platform transitions are where AR goes to hide. We work the aging by payer, triage denial queues daily, appeal MA denials with the record attached, reconcile ERA posting against deposits, and hand your administrator a weekly report that reads the same even when the software underneath changes.
Put a Dedicated Team on Your Casamba-Era Queues
Skilled, clinic, or home and hospice: the queues are real either way. Meet us, pick the seats you need, and watch a trained team work your own system before you commit to anything.
Book Your 2-Week Free TrialHow Our Teams Train and Go Live on Casamba-Era Systems
New team members train on your workflows before they touch production: your SOPs first, then our internal training library and supervised practice, then production work under a senior reviewer until quality holds. Because Casamba-era organizations often run mixed environments during a transition, we document both the outgoing and incoming workflow so coverage does not break at cutover. Each specialist works under an individual HIPAA agreement with named, auditable credentials, never shared logins, and a trained backup shadows each seat from week one.
Why Outsource Casamba-Era Work, and Why Staffingly
Vendors change; queues do not. A dedicated team keyed to your workflows keeps schedules, claims, and AR moving through sunsets, migrations, and ownership changes.
A flat weekly fee per dedicated specialist, with each efficiency gain accruing to you. Compare that with percentage-of-collections billing vendors; we will run the math with you.
Scheduling, documentation follow-up, eligibility, claims, denials, and AR in one engagement, so work stops falling between a therapy vendor and a billing vendor.

Casamba Support: Frequently Asked Questions
Is Casamba still available as a product?
The brand has been absorbed. Net Health acquired Casamba in 2021; casamba.net now redirects to Net Health. Casamba Skilled was retired in March 2022, clinic customers were consolidated onto TherapySource, and the Home & Hospice line was sold to Careficient in January 2023. Some organizations still access their systems through Casamba-hosted addresses.
What happened to Casamba Skilled?
Net Health retired it in March 2022 and moved facilities to Optima for Skilled Nursing, the former Optima Healthcare Solutions product. Our teams support the current Optima workflows those facilities run today.
What happened to Casamba Home & Hospice?
The home health, hospice, home care, and palliative line, built on the HealthWyse and Hospicesoft products, was sold by Net Health to Careficient in January 2023. Agencies from that line remain fully supportable; we work in whichever system holds the live record.
Can you work in a system we are about to leave?
Yes. Billing and follow-up continue in the outgoing system until cutover, and old-system AR usually needs working for months afterward. We staff both sides so the backlog does not get a head start.
Do you handle the technical migration itself?
No. Data conversion and system configuration belong to your vendor and IT team. What we staff is the administrative continuity around a migration: keeping schedules, claims, eligibility, and AR current while your staff absorb the new system.
How do your staff access our systems?
Through named individual user accounts you approve, with least-privilege roles and full audit logging. No shared logins, no offline exports of PHI.
How fast can a dedicated team start?
Most teams go live in about 14 days: access setup, workflow training on your SOPs, then supervised production. The engagement starts with a 2-Week Free Trial.
How is the service priced?
A flat weekly fee per dedicated specialist: $399 for 1 to 4 FTEs, $349 for 5 or more, $299 for 10 or more. No setup fees, never a percentage of your collections, month-to-month after the trial.
