The leading Eyefinity outsourcing providers are the ones that work inside your own Eyefinity Encompass system, understand that eye care pays through two doors, vision plans and medical payers, and price their people as a flat fee instead of a cut of your collections. Staffingly staffs that model: a dedicated remote team that runs your front desk, scheduling and recall, VSP and EyeMed eligibility and plan authorizations, medical prior authorizations, optical order tracking, and billing on both sides, in your system and on your workflows. Staff work under signed Business Associate Agreements at a flat weekly fee per specialist, never a percentage of your collections. Our specialists work US business hours inside your own systems, under named, auditable logins, with BAAs executed and HIPAA-trained staff.
The Platform

What Is Eyefinity?

Eyefinity is the practice software company owned by VSP Vision, and its current flagship is Eyefinity Encompass, the cloud practice management and EHR platform created in February 2025 when Eyefinity Practice Management and Eyefinity EHR came together under one brand. Encompass covers scheduling, exam documentation with protocol templates, optical order management, billing, analytics, and patient communication through companion modules such as EncompassMessage and EncompassPay, with VSP plan integration built into the workflow.

Eyefinity even runs a certified partner program that includes outsourced billing and credentialing companies, which tells you something: the vendor itself expects a large share of Eyefinity practices to hand the administrative load to a dedicated outside team. The question is not whether to get help on the queues, it is which model of help keeps you in control of your own system, your own data, and your own margins.

The Product Family

Which Eyefinity Are You Running?

The Eyefinity name covers two generations of software. Practices on the cloud side run Eyefinity Encompass, which existing Eyefinity Practice Management and Eyefinity EHR accounts became under the 2025 rebrand. Practices on the server side still run OfficeMate and ExamWRITER, the first-generation products for which Eyefinity positions Encompass as the successor. This page covers the cloud platform; our teams support OfficeMate and ExamWRITER practices as well, on the same dedicated-specialist model.

Mid-migration? Plenty of Eyefinity practices are somewhere between OfficeMate and Encompass right now. A dedicated remote team is the one part of your operation that does not churn during the cutover: the same people, the same SOPs, carried onto the new platform.
The Problem

Where Eyefinity Practices Lose Time and Money

Native VSP integration covers one payer.

Encompass ties into VSP, but EyeMed, Spectera, and every medical payer still mean separate portal lookups the front desk squeezes between check-ins.

See the fix
Verification still eats the front desk.

Vision plan, medical coverage, and benefit detail checks done right can run 20 minutes per patient. Multiply by a full book and the desk falls behind by ten a.m.

See the fix
Expired prescriptions quietly end relationships.

Patients whose Rx lapsed buy their next pair online instead of booking an exam. Winning them back is an outbound calling job nobody on site has time for.

See the fix
Delivered services still get written off.

Missed authorizations, late filing, and unworked denials turn completed exams and dispensed materials into write-offs weeks after the visit.

How Staffingly Supports Your Practice on Eyefinity

Front Office and Patient Records

Our team registers new patients and keeps Encompass records clean: demographics, vision plan and medical insurance entry, responsible party, and contact details, entered correctly the first time. The plan on file decides what the exam and the dispensary can bill that same afternoon, so accurate intake protects each claim that follows.

Scheduling and Recall

We work the Encompass scheduler daily: building and confirming appointments, filling cancellations from the recall pool, and calling patients due for annual exams or sitting on an expired prescription. Recall is where optometry revenue actually hides, and it only converts when a human being makes the calls week after week.

VSP, EyeMed, and Medical Eligibility

Encompass gives Eyefinity practices a head start on VSP, and our team runs the rest of the field: EyeMed and other vision plans, medical payer verification for anything beyond the routine exam, benefit detail, and plan authorizations, all documented against the patient record before the visit. We apply your practice’s medical-versus-vision routing rules so the right coverage is teed up before the doctor sees the patient.

Prior Authorization for Medical Eye Care

Anti-VEGF injection cycles, cataract surgery with premium IOL selection, glaucoma procedures, and advanced imaging all trigger payer prior authorization. Our specialists build and submit those requests, chase them to a decision, and log approval numbers in Encompass so billing does not file ahead of the authorization.

Optical Orders and Lab Tracking

We work the Encompass order management queue from sale to dispense: lab job status, arrival check-in, patient pickup calls, and follow-up when a job stalls. We also answer contact lens verification requests from online sellers, the interruption task that fits a remote queue better than a busy dispensary counter.

Vision and Medical Claims

Can you outsource Eyefinity billing? Yes, and the vendor’s own partner program proves the demand. Our dedicated billers file vision plan claims for exams and materials and CMS-1500 medical claims for medical eye care, post payments back into Encompass, reconcile dispensary patient portions, and keep the ledger current, at a flat weekly fee rather than the percentage-of-collections pricing common among eye care billing vendors.

AR, Denials, and Patient Balances

Our AR team works the aging weekly: denial research and resubmission, payer calls, appeals with chart documentation, patient statements, and balance follow-up on materials. Most eye care AR is collectible; it just needs a person whose whole job is collecting it.

Reports, Reconciliation, and Admin

We run the day-end close, reconcile deposits against postings, keep production and aging reports on a weekly calendar using Encompass analytics, and handle the paperwork around the practice, from payer enrollment updates to credentialing support. The books balance every night, not once a quarter.

How Our Teams Train and Go Live on Eyefinity

Staffingly specialist working inside a client's Eyefinity Encompass system

New team members learn your Eyefinity the honest way: on your workflows, not a generic script. We document your intake, eligibility, order, and billing procedures as SOPs, train against them in supervised sessions, and move to production work under review before anyone works independently. A trained backup shadows the same SOPs so coverage does not depend on one person. Each specialist works under an individual HIPAA agreement with named, auditable credentials, never shared logins.

Why Staffingly

Why Outsource Eyefinity Work, and Why Staffingly

Both sides of eye care pay.

Vision plans and medical payers run on different rules. One dedicated team covers VSP and EyeMed work, medical claims, and the routing decisions between them, so revenue stops leaking at the seam.

Flat fee, never a percentage.

Outsourced billing in eye care is commonly priced as a share of collections. We charge a flat weekly fee per dedicated specialist, so growth in your collections stays yours.

Your system, your control.

We work inside your Encompass under credentials you grant and can revoke, reporting production daily. No data leaves your platform for someone else’s process.

FAQ

Eyefinity Outsourcing: Frequently Asked Questions

What tasks can a virtual assistant do in Eyefinity Encompass?

Patient registration and demographics, insurance entry, scheduling and recall calls, VSP and EyeMed eligibility documentation, authorization tracking, optical order and lab tracking, claim posting, AR follow-up, and day-end reconciliation. Most administrative work that happens in Encompass screens, a trained remote assistant can own.

Can you outsource Eyefinity billing?

Yes. Dedicated billers file vision plan and CMS-1500 medical claims from inside your Encompass, post payments, work denials and AR, and reconcile dispensary balances, with daily production reporting.

Is this Eyefinity Practice Management, Eyefinity EHR, or Encompass?

All one platform now. In February 2025 Eyefinity brought Eyefinity Practice Management and Eyefinity EHR together under the Eyefinity Encompass brand, and existing cloud accounts became Encompass. Our teams support the platform under any of those names.

Do you also support OfficeMate and ExamWRITER?

Yes. OfficeMate and ExamWRITER are Eyefinity’s first-generation server products, and we staff them on the same dedicated-specialist model, including practices planning a migration to Encompass.

How does VSP work fit into Eyefinity support?

Eyefinity is a VSP Vision company and Encompass integrates VSP plans into the workflow. Our team documents VSP eligibility and plan authorizations, then covers what the integration does not: EyeMed and other vision plans, medical payers, and the routing decisions between vision and medical coverage.

How do your staff access our Eyefinity system?

Through named individual user accounts you approve, with least-privilege roles and full audit logging. No shared logins, no offline exports of PHI.

How fast can a dedicated Eyefinity team start?

Typically live in 14 days: access setup, workflow training on your SOPs, then supervised production. The engagement starts with a 2-Week Free Trial.

Is outsourced Eyefinity work secure and HIPAA-ready?

HIPAA-trained staff, executed BAAs, workflows designed to support HIPAA compliance, SOC 2 Type II, ISO 27001:2022, and $5M in coverage. Full detail on our security page.
