A virtual assistant team can own the daily administrative work inside your agency’s own ZOLL software, on your logins and your workflows, instead of pulling your billing into an outside system. Staffingly staffs that model for the current ZOLL Data Systems cloud products, ZOLL Dispatch, ZOLL emsCharts, and ZOLL Billing, and for agencies still running the legacy RescueNet suite. Trained specialists chase incomplete ePCRs, verify coverage, prepare and follow ambulance claims, work AR, and post payments, all under signed Business Associate Agreements at a flat weekly fee per specialist, never a percentage of your collections. Our specialists work US business hours inside your own systems, under named, auditable logins, with BAAs executed and HIPAA-trained staff.
The Platform

What Is ZOLL Data Systems?

ZOLL Data Systems, a division of ZOLL Medical Corporation, builds the software stack that runs a large share of American EMS operations. The current cloud lineup covers the whole call-to-cash path: ZOLL Dispatch for call taking and computer-aided dispatch, ZOLL emsCharts for NEMSIS-compliant electronic patient care reporting (with emsCharts NOW for mobile crews), ZOLL Billing for claims and revenue work, ZOLL Care Exchange for sharing records with hospitals, and the ZOLL AR Boost tools that verify patient demographics and insurance coverage. Agencies sign in through the ZOLL Online platform. Many operations also still run the older RescueNet suite, which ZOLL describes as its widely adopted legacy software; we cover that suite on its own RescueNet support page.

The software connects dispatch to chart to claim, but each link in that chain is still a queue a human has to work: unfinished charts in emsCharts, verification worklists in AR Boost, claim edits and payer follow-up in ZOLL Billing. When the same small office crew owns dispatch phones and billing queues at once, the queues fall behind. That staffing gap is what this service closes.

Fit

Who Is This For?

EMS operations that run on ZOLL software and are losing office hours to it: private ambulance companies, hospital-based and fire-based EMS, air medical programs, and non-emergency medical transport operators. It fits a single-station service that needs one trained billing assistant as well as a multi-county operation that needs a billing desk plus a dispatch-support pod working the ZOLL queues in parallel with your crews.

A note on the ZOLL product family. This page covers the current ZOLL Data Systems cloud products. If your agency still runs the legacy suite, see RescueNet support. If you came here searching for Golden Hour, the billing brand ZOLL acquired, see Golden Hour (ZOLL) billing support.
The Problem

Where ZOLL Agencies Lose Time and Money

Late ePCRs stall the whole billing cycle.

A claim cannot leave ZOLL Billing until the chart is complete and signed in emsCharts. Charts missing signatures or narratives sit for days while nobody owns the chase.

See the fix
Medical necessity denials keep coming back.

Ambulance claims live or die on the narrative and the paperwork behind it. When documentation review is nobody’s daily job, the same denial reasons repeat month after month.

See the fix
SNF transports get billed to the wrong payer.

Facility versus Medicare responsibility on skilled nursing transports is a routing decision that has to happen before the claim goes out, and it often does not.

See the fix
Verification worklists have no owner.

ZOLL AR Boost surfaces demographic and coverage problems, but a worklist only helps if someone clears it daily. In short-staffed offices those queues grow instead of shrinking.

How Staffingly Supports Your Agency on ZOLL

Dispatch and Trip Intake Admin

Around ZOLL Dispatch, our team handles the scheduled and non-emergency side of the board: taking facility transport requests, entering trip details completely and correctly, confirming pickup times with facilities, and keeping recurring transport schedules current. Clean trip data at intake is the first billing control, because demographics and payer details captured at booking flow through the chart to the claim. Your certified dispatchers stay on emergency traffic; we absorb the phone and data work around them.

ePCR Follow-Up in ZOLL emsCharts

Billing waits on charting. Our specialists run the daily incomplete-chart list in ZOLL emsCharts: identifying unfinished or unsigned ePCRs, requesting missing signatures and attachments from crews through your chain of command, and confirming each chart is complete before it moves to billing. This is administrative follow-up; our staff do not write or alter patient care documentation. Agencies feel this as a shorter gap between wheels-stopped and claim-out, the exact problem covered in our guide on late ePCRs and missing signatures.

Insurance Verification and Demographics

EMS billing starts with patient data captured in the back of a moving vehicle, which is why verification is a bigger deal in this vertical than almost any other. Our team works the demographic and coverage worklists, including queues surfaced by the ZOLL AR Boost verification tools, corrects patient records, confirms active coverage, and flags self-pay accounts for your financial policy before claims go out the door.

Ambulance Billing in ZOLL Billing

Dedicated billers work claims end to end inside your ZOLL Billing account: reviewing charts against payer requirements, checking that medical necessity documentation supports the level of service billed, confirming PCS forms are on file for non-emergency transports, applying correct origin and destination modifiers and mileage, and submitting clean claims daily. For the full picture of our EMS billing service, see Ambulance Billing Services.

Claim Follow-Up and Denials

Submitted is not paid. Our team runs claim status follow-up on a fixed cadence, works rejections and denials by reason code, assembles appeal packets with the chart documentation payers ask for, and keeps a denial log so recurring causes get fixed upstream at intake or charting instead of being appealed forever downstream.

Payment Posting and Reconciliation

We post electronic remittances and paper EOBs, reconcile deposits against postings, process patient statements on your schedule, and keep credit balances and refunds current. Daily reconciliation means your month-end numbers in ZOLL Billing match the bank, and revenue leaks show up in days, not quarters.

Facility and SNF Transport Invoicing

Facility contract work is its own discipline: deciding whether the SNF or Medicare pays for each transport, invoicing facilities per contract terms, chasing facility AR, and keeping the paperwork that supports each routing decision. We build this into the billing desk so facility invoices go out as reliably as payer claims.

Reporting and Daily Ops Admin

Someone on our team owns your reporting calendar: unbilled trip reports, AR aging by payer, denial trends, and the operational summaries your leadership actually reads, pulled from your ZOLL reporting tools and delivered on a fixed schedule. Add the loose admin around the software, credential file upkeep, payer enrollment paperwork, and mail handling, and your office staff get their day back.

How We Work

How Our Teams Train and Go Live on ZOLL Software

Staffingly specialist working inside a client's EMS software system

New team members train on your agency’s real workflows before they touch production work: your SOPs and payer mix first, then supervised work in your ZOLL environment with your naming conventions, your facility contracts, and your documentation standards. Production is reported to you daily in your own format, and a trained backup shadows the account from week one so coverage does not depend on one person. Specialists work under an individual HIPAA agreement with named credentials you approve, never shared logins.

Why Staffingly

Why Outsource ZOLL Queue Work, and Why Staffingly

One team, dispatch to cash.

Most EMS vendors sell billing alone. We staff across the workflow: trip intake, ePCR chasing, verification, claims, AR, and posting, so work stops falling between roles.

Flat fee, never a percentage.

EMS billing companies typically price as a percentage of collections. Our model is a flat weekly fee per dedicated specialist working in your own ZOLL system, so growth in collections stays with your agency.

You keep the system and the data.

Your ZOLL Online accounts, your payer relationships, your history. We work inside them under access you grant and can revoke, and you can audit the work daily.

Speed with proof.

Most teams go live in about 14 days. 2-Week Free Trial. Trained backup at no charge. 800+ providers served, 4.9 Google rating you can verify on our listing.
