Staffingly’s Practice Fusion outsourcing service is a dedicated remote team that works inside your own Practice Fusion account, and inside the billing system it syncs to, covering front office, scheduling, eligibility follow-up, prior authorizations, referrals, superbill and claims work, and reporting. Staff are trained on real Practice Fusion workflows, from digital intake and Task Management to the superbill handoff into partners like Tebra, AdvancedMD, and CollaborateMD, and they work under signed Business Associate Agreements at a flat weekly fee per specialist, never a percentage of your collections. Our specialists work US business hours inside your own systems, under named, auditable logins, with BAAs executed and HIPAA-trained staff.
The Platform

What Is Practice Fusion?

Practice Fusion is a cloud EHR built for independent practices, now a Veradigm Network solution (Veradigm is the company formerly known as Allscripts). It made its name as the free, ad-supported EHR that thousands of small practices adopted, then moved to a paid subscription in 2018. The product stays deliberately lean: charting with a large template library, certified e-prescribing with EPCS, a scheduler with automatic appointment reminders and digital intake forms, automatic insurance eligibility checks, lab and imaging integrations, Task Management for practice to-dos, and the Patient Fusion portal.

The lean design is also the catch. Practice Fusion is an EHR, not a full practice management system, so billing lives in a connected partner platform such as Tebra, AdvancedMD, or CollaborateMD, or with Practice Fusion Billing Services. Superbills sync out with a click, and then someone has to actually work them. Eligibility checks run automatically, and then someone has to resolve what they flag. Tasks queue up cleanly, and then someone has to clear them. The software assumes the practice supplies the people and the process. That is the exact gap this service closes.

Fit

Who Is This For?

Solo physicians and small independent groups that picked Practice Fusion for its simplicity and price, and now find the admin day split across two systems: the chart in Practice Fusion and the money in the billing platform it syncs to. It fits a one-provider office that needs a single trained assistant covering intake, eligibility, and tasks, as much as a small group that needs a billing desk working the claims its superbills feed.

A note on billing partners. Because Practice Fusion charts in one system and bills through another, our specialists are assigned to your specific pairing: superbill and chart work inside Practice Fusion, claims and posting inside the connected platform, whether that is Tebra, AdvancedMD, CollaborateMD, or another PM your practice uses. One team, both sides of the sync, no handoff gap in between.
The Problem

Where Practice Fusion Practices Lose Time and Money

Superbills sync, then stall.

The one-click handoff to your billing platform is the easy part. If nobody owns the claims once they land in Tebra, AdvancedMD, or CollaborateMD, the sync just moves the backlog to a second login.

Eligibility flags nobody resolves.

Automatic eligibility checks surface coverage problems before the visit. In a stretched front office the flag gets seen and skipped, and the denial arrives weeks later with interest in staff time.

Task Management fills faster than it clears.

Refill requests, lab results to route, Patient Fusion portal messages, and intake follow-ups all land as tasks. A clean queue that nobody works is still a backlog, just a tidy one.

Two systems, double the data entry.

A lean EHR plus a separate billing platform means demographics, insurance, and charges get touched twice. Every mismatch between the two systems becomes a rejection someone has to chase.

How Staffingly Supports Your Practice on Practice Fusion

Front Office and Patient Records

Our team registers new patients and keeps Practice Fusion records clean: demographics, insurance entry, contacts, and pharmacy details, plus processing the digital intake forms patients complete before the visit and enrolling patients in the Patient Fusion portal. Because your billing platform depends on what Practice Fusion sends it, we treat registration accuracy as billing work: what is entered right once never becomes a rejection later.

Scheduling and Patient Communication

What can a remote assistant actually do in the Practice Fusion scheduler? Build and maintain the appointment book, keep automatic appointment reminders configured and monitored, follow up on unconfirmed visits by phone, run recall outreach for overdue patients, and rebook no-shows the same day. Fewer empty slots and a fuller book, without pulling your on-site staff off the front desk.

Eligibility Checks and Insurance Verification

Practice Fusion runs automatic eligibility checks in the background; we make them mean something. Our specialists review every flagged response before the visit, verify plan detail directly with the payer where the electronic answer is thin, correct coverage entries in the chart, and confirm the same coverage is right in your billing platform so the claim and the chart never disagree. Eligibility mistakes are one of the quietest sources of denials in small practices; resolving the flags before the patient arrives removes them at the source.

Prior Authorization

Practice Fusion does not carry a prior authorization module, which means auth work in a Practice Fusion practice is payer portals, fax lines, and phone queues. Our specialists run that outside work end to end, document the authorization number and validity window in the chart and in Task Management, carry it into the billing platform so the claim goes out with the auth attached, and track expirations on a shared tracker. Fewer authorization denials, and no lapsed auths mid-treatment.

Referral Coordination

We work incoming records and referrals daily: filing documents to the right Practice Fusion chart, calling the patient, and scheduling, then logging every item on a shared tracker your team can audit. Outbound, we prepare referral paperwork with the clinical documents the receiving practice needs and follow up until the loop closes, so referrals move instead of sitting in a queue.

Superbills, Medical Billing, and RCM

Can you outsource billing for a Practice Fusion practice? Yes, and it takes a team that works both systems. Our billers verify superbills are complete and coded before the sync, push them into your connected billing platform, then work the claims where they actually live: scrubbing and submission, rejection follow-up, ERA and EOB posting, denials, AR and aging, patient statements, and daily reconciliation back against what Practice Fusion sent. If you use Practice Fusion Billing Services, we staff the practice side of that workflow instead. For the full revenue cycle picture, see Outsourced Revenue Cycle Management Services.

Task Management and Inbox Support

We keep the Task Management queue at zero: routing lab and imaging results to the right owner, preparing refill requests for provider sign-off, triaging Patient Fusion portal messages, and closing administrative tasks the same day they arrive. This is administrative support, not scribing, and the boundary is written into the SOW.

Reports, Quality, and Admin

We run the reporting rhythm on both sides of your setup: Practice Fusion’s reporting and MIPS participation tracking on the clinical side, and financial reports out of your billing platform on the money side, reconciled against each other so visits never disappear between systems. Someone on our team owns that calendar, so revenue leaks get caught early instead of at year end.

How Our Teams Train and Go Live on Practice Fusion

Staffingly specialist working inside a client's Practice Fusion system

Before anyone touches your production account, specialists work through our SOP library and drill the screens your staff live in: the Practice Fusion scheduler and digital intake, eligibility responses, Task Management, the superbill workflow, and your specific billing platform on the other side of the sync. Go-live starts with supervised production against your own SOPs, a trained backup shadows every seat from day one, and production is reported to you every evening in your format. Every specialist works under an individual HIPAA agreement with named, auditable credentials in both systems, never shared logins.

Why Staffingly

Why Outsource Practice Fusion Work, and Why Staffingly

One team for both systems.

Most vendors staff either the EHR or the billing platform. We staff the whole surface, Practice Fusion and the PM it syncs to, so work stops falling into the gap between the chart and the claim.

Flat fee, never a percentage.

The billing services sold around Practice Fusion are typically priced as a percentage of your collections. Our model is a flat weekly fee per dedicated specialist, so every efficiency gain accrues to the practice. Do the math both ways; we will help on the call.

Real Practice Fusion fluency.

Our specialists train on the actual workflows, digital intake, eligibility flags, Task Management, superbill sync, and partner PM claims work, before they ever open your account.

FAQ

Practice Fusion Outsourcing: Frequently Asked Questions

What tasks can a virtual assistant do in Practice Fusion?

Registration, scheduling and reminder follow-up, digital intake form processing, eligibility flag resolution, insurance entry, prior authorization tracking, referral and document filing, patient calls, Task Management triage, and report pulls. Anything administrative that happens in Practice Fusion screens, a trained remote assistant can own.

Can you outsource billing for a Practice Fusion practice?

Yes. Because Practice Fusion is an EHR without a built-in practice management system, our billers work both sides: superbill completeness in Practice Fusion, then claims, posting, denials, AR, and statements inside the billing platform your superbills sync to.

Which billing platforms do you support alongside Practice Fusion?

The partners Practice Fusion syncs superbills to, including Tebra, AdvancedMD, and CollaborateMD, plus other PM systems practices pair with it. If you use Practice Fusion Billing Services, we staff the practice side of that workflow.

Practice Fusion used to be free. Why staff it now?

The free era ended in 2018; Practice Fusion is a paid subscription under Veradigm today. Most practices kept the lean staffing habits of the free era while the admin work kept growing, which is exactly the gap a flat-fee dedicated specialist fills.

How do your staff access our Practice Fusion account?

Through named individual user accounts you approve, in Practice Fusion and in your billing platform, with least-privilege roles, MFA, and full audit logging. No shared logins, no offline exports of PHI.

How fast can a dedicated Practice Fusion team start?

Typically live in 14 days: access setup in both systems, workflow training on your SOPs, then supervised production. The engagement starts with a 2-Week Free Trial.

Is outsourced Practice Fusion work secure and HIPAA-ready?

HIPAA-trained staff, executed BAAs, workflows designed to support HIPAA compliance, SOC 2 Type II, ISO 27001:2022, and $5M in coverage. Full detail on our security page.

Do we keep control of our Practice Fusion account?

Yes. It stays your system, your data, your logins to grant or revoke, and the same holds for your billing platform. We work inside them and report daily; you can review our activity in your own system.
