Staffingly’s athenaIDX outsourcing service is a dedicated remote revenue cycle team that works inside your own athenaIDX system, the enterprise platform formerly known as Centricity Business and, before that, IDX. Specialists cover registration and demographics quality, eligibility, TES edit resolution, claim submission, payment posting in BAR, and the ETM worklists where AR follow-up and denials live, working list by list until the queues are clear. Every specialist works under signed Business Associate Agreements at a flat weekly fee per person, never a percentage of your collections. Our specialists work US business hours inside your own systems, under named, auditable logins, with BAAs executed and HIPAA-trained staff.
The Platform

What Is athenaIDX?

athenaIDX is athenahealth’s enterprise revenue cycle and practice management platform, and it carries one of the longest lineages in healthcare IT: born as IDX, sold for years by GE Healthcare as Centricity Business, then rebranded athenaIDX in 2020 after the Virence Health and athenahealth combination. It is not the small-practice athenaOne product. athenaIDX runs the financial engine of health systems, hospitals, academic practice plans, billing services, and some of the largest medical groups in the country, organizations that measure invoices in the millions.

Its working parts are famous among revenue cycle veterans: BAR for billing and accounts receivable, TES for transaction and charge editing before claims go out, ETM, the Enterprise Task Manager, for worklist-driven AR follow-up, and athenaEDI carrying eligibility, claims, and remittance traffic. The design assumes a large, disciplined billing office feeding those worklists every day. When turnover thins that office, the platform keeps routing work to lists that no one opens, and AR ages at enterprise scale. That staffing gap is what this service closes.

Fit

Who Is This For?

athenaIDX is an enterprise platform, and this is an enterprise service: health system central billing offices, hospital-owned medical groups, academic practice plans, MSOs, billing services companies, and very large multi-specialty groups. Staffingly does not resell or host anything. Your athenaIDX environment stays yours; our specialists work inside it through named accounts your team provisions, scopes, and can revoke at any time. We staff the worklists, you keep the system.

A note for CBOs and billing services. athenaIDX is the workhorse of central billing offices and billing companies that run AR for many groups at once, where every open position means worklists aging across every client book. Our pods scale by book of business: dedicated seats per client or per payer desk, added or removed month to month as your volumes move.
The Problem

Where athenaIDX Billing Offices Lose Time and Money

TES edit lists regrow overnight.

Every day of charges brings a new crop of transaction edits, and claims stopped in TES are revenue that never left the building. An edit list that is only half-worked compounds daily.

Posting exceptions pile up in BAR.

Autocash handles the clean remits; the exceptions, partial payments, takebacks, and unmatched transactions wait for a human. Unposted cash distorts AR and hides denials inside it.

ETM worklists age past timely filing.

ETM is excellent at routing follow-up work and indifferent to whether anyone does it. Invoices sit in worklists through payer deadlines, and what was collectible becomes a write-off with a paper trail.

Turnover leaves follow-up desks unowned.

Experienced IDX-lineage billers are scarce and expensive. When one leaves a CBO, their payer desk goes quiet for months while recruiting drags, and the AR they owned quietly ages.

How Staffingly Supports Your Organization on athenaIDX

Registration and Demographics Quality

Claims fail in TES and deny at payers for reasons that started at registration. Our team keeps demographic, guarantor, and insurance data clean in athenaIDX: correcting registration errors flagged by edits, maintaining coverage records, and running the data-quality worklists that most billing offices never have hands for. Clean inputs shrink every downstream queue on this page.

Scheduling Support

For groups running scheduling in athenaIDX alongside billing, our schedulers book and reschedule appointments, manage waitlists, and run confirmation and recall calls in your organization’s name. Where athenaIDX serves purely as the billing engine behind a separate EHR, we simply work both systems the way your own staff do; split-system workflows are normal in the athenaIDX world, and we train to yours.

Eligibility and Insurance Verification

We verify coverage before the visit and before the claim: running eligibility through your athenaEDI connections, reading payer responses, correcting plan and subscriber data, and documenting benefits. At enterprise invoice volumes, even a small eligibility error rate becomes a large denial queue, and every one of those denials was preventable for a fraction of the rework cost.

Referrals and Authorizations

Our specialists initiate authorization requests with payers, document auth numbers and effective dates where your athenaIDX workflows expect them, follow pending requests to closure, and flag services scheduled without confirmed authorization before they become denials. For imaging-heavy and procedure-heavy groups, disciplined auth tracking is one of the highest-yield denial preventers in the entire revenue cycle.

TES Edits and Claim Submission

TES is where clean claims are made. Our billers work the transaction edit lists daily: resolving charge and demographic edits, routing coding questions to your coders, releasing corrected transactions, and pushing claims out through athenaEDI on schedule. The measure we manage to is simple: edits worked to zero and claims out the door every day, reported to you every evening.

BAR Payment Posting

Dedicated posters work BAR every day: reviewing autocash results, posting manual remittances and patient payments, resolving unmatched and partially paid transactions, handling takebacks and refunds, and reconciling deposits to postings. Accurate, current posting is what makes your AR reports true; much of the revenue cycle is guesswork when cash sits unapplied.

ETM AR Follow-Up and Denials

This is the heart of athenaIDX work. Our follow-up specialists live in Enterprise Task Manager: working payer follow-up worklists by age and value, researching denials, correcting and resubmitting claims before timely filing closes, drafting appeals where the money justifies it, and documenting every touch in notes your managers can audit. ETM routes the work; we are the team that actually clears it, desk by desk, payer by payer.

Reporting and Month-End Admin

We run the reporting calendar your billing office never gets to: AR aging by payer and desk, ETM worklist volumes and aging, TES edit trends, unposted cash, denial rates by reason, and the month-end package in your format. Worklist trends get surfaced weekly, so a desk that starts slipping is a staffing conversation in week one instead of a bad quarter explained after the fact.

How Our Teams Train and Go Live on athenaIDX

Staffingly specialist working inside a client's athenaIDX system

Nobody touches your production athenaIDX on day one. New team members study our SOP library and IDX-lineage revenue cycle playbooks, train on your workflows in the environment your team designates, then work supervised production with a lead reviewing output before go-live. Every specialist signs an individual HIPAA agreement and works under named, auditable credentials your team provisions and can revoke, never shared logins. A trained backup shadows every seat from week one, so a payer desk never goes quiet because one person is out.

Why Staffingly

Why Outsource athenaIDX Work, and Why Staffingly

One team across the worklist surface.

Most vendors sell AR follow-up alone. We staff the whole chain: registration quality, eligibility, auths, TES edits, BAR posting, ETM follow-up, and reporting, so work stops falling between vendors.

Flat fee, never a percentage.

Percentage-of-collections pricing scales the vendor’s fee with your revenue. We charge a flat weekly fee per dedicated specialist; at enterprise collection volumes the difference is enormous. Do the math both ways; we will help on the call.

A bench for a scarce skill.

IDX-lineage billers are hard to hire and harder to keep. We recruit, train, and back up that skill set for you, so a resignation costs you a handoff, not a quarter of AR aging.

Speed with proof.

FAQ

athenaIDX Outsourcing: Frequently Asked Questions

Is athenaIDX the same as athenaOne?

No. athenaOne is athenahealth’s cloud suite for practices; athenaIDX is the enterprise revenue cycle platform formerly known as Centricity Business and IDX, used by health systems, billing services, and very large groups. This page covers athenaIDX; we support athenahealth’s practice products as well.

What can a remote specialist actually do in athenaIDX?

Anything administrative that happens in athenaIDX screens: registration and demographics correction, eligibility verification, authorization tracking, TES edit resolution, claim submission, BAR payment posting, ETM follow-up and denial worklists, and reporting.

Can you staff ETM worklists specifically?

Yes, and it is the most common request. Follow-up specialists work your ETM worklists by age and value, payer desk by payer desk, with every touch documented and daily production reported in your format.

Do you work with billing services and CBOs, not just providers?

Yes. Billing companies and central billing offices are natural athenaIDX clients: we provide dedicated seats per client book of business, so you can scale a desk up or down without recruiting.

How do your staff access our athenaIDX system?

Through named individual accounts your team provisions, with least-privilege scope, MFA, and full audit logging. No shared logins, no offline exports of PHI, and you can revoke access at any time.

How fast can a dedicated athenaIDX team start?

Typically live in 14 days: access provisioning, training on your SOPs and designated environment, then supervised production. The engagement starts with a 2-Week Free Trial.

Is outsourced athenaIDX work secure and HIPAA-ready?

HIPAA-trained staff, executed BAAs, workflows designed to support HIPAA compliance, SOC 2 Type II, ISO 27001:2022, and $5M in coverage. Full detail on our security page.

Do we keep control of our athenaIDX environment?

Completely. It stays your system, your data, and your credentials to grant or revoke. We work inside it and report daily; your compliance team can audit every action our staff take.
