Can a Virtual Assistant Team Work Inside SoftDent?
Yes. Dedicated HIPAA-trained assistants work inside your own SoftDent system, covering the front desk, hygiene recall, insurance breakdowns, claims, and posting, while you decide the Sensei Cloud question on your own timeline. Flat weekly pricing from $299 per FTE (volume based), with a trained backup included at no charge. Live in 14 days.
What Is SoftDent, and Where Does It Stand Today?
SoftDent is a server-based practice management system for general dentistry, one of the long-serving products in the Carestream Dental family, which now operates its software line under the Sensei brand. The vendor’s own position is clear: practices already on SoftDent can keep using it with ongoing support, and there is no immediate requirement to change systems. Sensei Cloud is the current cloud platform offered as the eventual destination, with migrations planned when a practice decides the time is right. Companion tools such as eClaims and eVerifications connect to the workflow many SoftDent offices already run.
In practice, a SoftDent office is usually a stable one: the same system for a decade or more, workflows that live partly in the software and partly in one veteran employee’s head. That is its strength and its risk. When that person retires, goes on leave, or resigns, the practice loses the system knowledge along with the seat. Our role is to put trained coverage inside that same system, so the office keeps running and the Sensei Cloud decision stays a strategy question instead of an emergency. The wider product family is covered on our Carestream Dental support page.
Who Is This For?
General and family dentistry practices that run SoftDent and feel it in the staffing: solo offices where one person covers phones, verification, and claims; two-doctor practices where recall has quietly slipped; and small groups keeping SoftDent locations productive while newer locations start on other systems. It also fits offices in the in-between year, committed to a future Sensei Cloud move but needing the current system fully staffed until then.
Where SoftDent Practices Lose Time and Money
Years of workflow knowledge walk out with one resignation: how claims were batched, which payers needed attachments, where the recall lists lived. New hires learn a system this established slowly.
See the fixThe six-month engine only runs if someone works the lists and makes the calls. Short-staffed SoftDent offices skip recall first, and the empty hygiene chairs show up months later as a production dip.
See the fixEligibility pings answer whether coverage exists, not what the plan pays for a crown after downgrades and frequencies. When the desk is busy, the full breakdown is what gets cut, and the estimate is what turns wrong.
See the fixPractices delay hiring and training because a Sensei Cloud move is somewhere on the horizon. Meanwhile verification, claims, and recall still have to happen in SoftDent five days a week.

Front Desk and Patient Records
Our assistants handle registration and record upkeep inside your SoftDent system: demographics, subscriber and plan entry, responsible party details, referral source, and document filing, done the way your office already does it. We learn your conventions first, because in a system your practice has run for years, consistency is the difference between records your team trusts and records they re-check. The result is a front desk that greets patients instead of typing.
Scheduling and Hygiene Recall
We maintain the appointment book, confirm tomorrow’s patients, fill same-day cancellations from your short-notice list, and, most importantly for a general practice, work the recall and reactivation lists every week. Overdue hygiene patients get called, texted per your policy, and scheduled; dormant charts get a reactivation pass. Your hygiene chairs stay full without your front desk finding an extra two hours a day that do not exist.
Insurance Verification and Benefits Breakdowns
Before each visit we verify eligibility and build the full breakdown: coverage percentages by category, deductible status, remaining annual maximum, frequencies, waiting periods, missing tooth clauses, and downgrade provisions, entered into SoftDent so estimates and treatment plans start from the truth. Where your office uses eVerifications for the first-pass answer, we do the payer calls and portal work that turn a yes-no ping into a quotable breakdown.
Predeterminations and Prior Authorization
For crowns, bridges, perio treatment, and other plan-sensitive procedures, we submit predeterminations with the radiographs, charting, and narratives payers expect, track each request to a decision, and put the answer in the chart before the patient sits down for the financial conversation. Case acceptance improves when the coverage answer is already known.
Claims, Posting, and AR
Can you outsource SoftDent billing? Yes. Dedicated billers submit claims daily with the right attachments, work the rejection queue, post EOBs line by line with correct adjustments, reconcile deposits, and follow the aging buckets with payer calls and appeals before deadlines pass. You see the same numbers we do: a daily production report in your format, claims out, payments posted, and what needs your decision.
Reports and Day-End Admin
We close the day the way a well-run SoftDent office used to when it was fully staffed: day sheets balanced, unsubmitted claims checked, outstanding claims reviewed weekly, and the unscheduled treatment and recall lists refreshed so next month’s schedule has somewhere to come from. The routine work that reveals problems while they are still small gets done on a calendar, not when someone has time.

No pressure to migrate, no platform agenda. SoftDent is supported by its vendor and staffed by us, for as long as staying put is the right call for your practice.
A dedicated assistant plus a trained backup at no charge means one resignation no longer takes your claims knowledge and your recall program with it.
A flat weekly fee per dedicated specialist. No percentage of collections, no per-claim charges, no setup fees, and pricing that does not change when production grows.
If you move to Sensei Cloud later, the team that knows your patients and payers carries the workload through the conversion, so claims stay worked the whole way through.
How Our Teams Train and Go Live on SoftDent
SoftDent offices run on convention, so training starts with yours. New team members work through our dental SOP library, then document and learn your office’s specific SoftDent routines, how you batch claims, which payers want attachments, how estimates are written, before touching production work. Go-live is supervised and gradual, with your team reviewing early output and accuracy proven before volume ramps. Every specialist works under an individual HIPAA agreement with named credentials your practice grants and can revoke, never shared logins, and a trained backup stands ready at no charge.

SoftDent Outsourcing: Frequently Asked Questions
What tasks can a virtual assistant do in SoftDent?
Patient registration and record upkeep, appointment scheduling and confirmations, hygiene recall and reactivation calls, insurance verification and full benefits breakdowns, predetermination submission and tracking, claim submission with attachments, payment posting, AR follow-up, and day-end reports. Administrative work inside SoftDent screens, a trained remote assistant can own.
Is SoftDent still supported?
Yes. SoftDent is part of the Carestream Dental family, whose software now runs under the Sensei brand, and the vendor states practices can continue using it with ongoing support. There is no immediate requirement to change systems.
Do we need to move to Sensei Cloud before outsourcing?
No. We staff your SoftDent system as it is today. If you migrate later, the same team helps carry verification, claims, and AR through the conversion so nothing ages out while staff learn the new platform.
How do remote staff access a server-based system like SoftDent?
Through remote access your practice sets up and controls, with a named SoftDent user account per specialist that you approve and can revoke. No shared logins and no offline exports of PHI.
Can you outsource SoftDent billing?
Yes. Dedicated billers handle claim submission with attachments, rejection follow-up, EOB posting, deposit reconciliation, aging work, and appeals, with daily production reporting in your format.
Can you rebuild our hygiene recall program?
Yes, and it is one of the most common requests from SoftDent offices. We work the recall and reactivation lists weekly, call and schedule overdue patients in your practice’s name, and report the results every day.
What does it cost?
A flat weekly fee per dedicated specialist: $399 for 1 to 4 FTEs, $349 for 5 or more, and $299 for 10 or more. Never a percentage of your collections, and no setup fees. The engagement starts with a 2-Week Free Trial.
How fast can an assistant start?
Most teams go live in about 14 days: access setup, your workflows documented into SOPs, then supervised production that ramps as accuracy is proven.
