Yes. Staffingly provides dedicated remote teams that run the administrative side of a Motivity practice inside your own system: intake and referral coordination, ABA benefits verification, prior authorizations with weekly auth-units tracking, scheduling around cancellations, and billing on the 97151 to 97158 codes. Motivity’s clinical core, the programs, targets, and real-time session data your RBTs and BCBAs live in, stays entirely with your clinical team; we staff the work around it. Staff work under signed Business Associate Agreements at a flat weekly fee per specialist, never a percentage of your collections. Our specialists work US business hours inside your own systems, under named, auditable logins, with BAAs executed and HIPAA-trained staff.
The Platform

What Is Motivity?

Motivity is an ABA platform built clinical-side first. Its reputation rests on real-time data collection: an RBT records a trial and the supervising BCBA sees the graph update live, with fully customizable programs, phases, prompts, and measurement types, plus ABC data on behaviors. Development of the platform was supported by National Institute of Mental Health awards, and it is used by ABA organizations from startups to enterprises as well as PK-12 special education programs. Around that clinical core, Motivity has grown a practice management side, scheduling, billing, and compliance in one place, along with credential tracking and revenue cycle tooling.

That data-first design shapes who should do what. Your RBTs and BCBAs own the clinical layer; no outsourcing vendor belongs in your program books. But the practice still runs on administrative work that happens around and inside Motivity’s operational screens: the referral queue, the benefits calls, the authorization tracker, the cancellation backfill, and the claims that follow each session. That is the work this service staffs, with the clinical boundary written into the SOW.

Fit

Who Is This For?

ABA organizations that chose Motivity for its clinical data experience and now need the operational side staffed: startups where the founding BCBA is still doing intake between sessions, growing group practices adding locations faster than office staff, school-partnership programs coordinating district paperwork, and established agencies whose billers are drowning in reauthorization season. If your clinicians love the platform but your admin work queues keep getting longer, this is the fit.

A note on the clinical data layer. We deliberately do not touch programs, targets, graphs, or session data quality in Motivity. Those are clinical instruments. Our teams work the operational surface, intake, benefits, authorizations, scheduling, billing, credentialing follow-up, and reporting, and hand anything clinical straight to your BCBAs. That boundary is a large part of why the arrangement works.
The Problem

Where Motivity Practices Lose Time and Money

Sessions run past authorized units.

The clinical data says the client is progressing; the authorization says the units ran out two weeks ago. Hours delivered beyond approved units become free care no payer will reimburse.

See the fix
Reauthorizations sit pending while the current auth expires.

Motivity keeps the progress data a renewal packet needs at hand, but assembling the packet, filing it, and chasing the payer is desk work nobody in session can do.

See the fix
Cancellations gut RBT hours and revenue.

A morning cancellation leaves an RBT unpaid or idle and a client under-delivering against authorized hours. Backfilling takes calls and waitlist work in the first hour, not at day’s end.

See the fix
ABA claims deny on place of service.

Home, center, school, and telehealth sessions carry different place-of-service rules, and state Medicaid plans differ on which settings they pay. One wrong code denies a delivered session.

How Staffingly Supports Your Practice on Motivity

Intake and Referral Coordination

Our team owns your referral queue: logging inquiries, collecting diagnostic reports and insurance cards from families, sending intake and consent paperwork, chasing signatures, and getting the client record complete in Motivity before the assessment is scheduled. Families arriving at an ABA practice have usually already waited months for a diagnosis; a same-day callback and a tracked intake status decide whether they start with you or keep calling down their list.

Eligibility and Benefits Verification

Before the first assessment hour, we verify the benefits that actually govern ABA: whether the plan covers ABA at all, autism mandates and age limits, behavioral health carve-out administrators, unit and visit limits, telehealth coverage for parent training, and the copay and deductible detail families need before committing to a 20-hour week. A generic active-coverage check misses most of that, which is why so many ABA denials trace back to session one.

Prior Authorization and Auth-Units Tracking

We prepare, submit, and track the authorizations ABA lives on: initial assessment auths for 97151, treatment auths across the 97153 to 97158 range, and the reauthorization cycles that repeat for as long as a client is in service. Motivity’s practice management side is built to keep authorizations on track; our job is to be the person actually tracking them, logging approved units, checking utilization against delivered sessions weekly, and starting renewal packets 30 or more days out so treatment does not outrun an approval.

Scheduling Around Cancellations

ABA scheduling is a three-way match of client availability, RBT availability, and authorized hours, and it breaks daily. We manage the Motivity calendar across staff and locations: confirming sessions, working cancellations against makeup slots and waitlists the same morning they happen, rebalancing RBT assignments when a client pauses, and flagging clients whose delivered hours are drifting below their authorization before the gap becomes a payer question at reauthorization.

ABA Billing and Claims, 97151 to 97158

Can you outsource Motivity billing? Yes. Dedicated billers work end to end on your book: charge review against completed session documentation, claim generation from Motivity’s practice management side, rejection and denial work, payment posting, patient responsibility follow-up, and AR aging. ABA billing has its own failure modes, unit-based codes billed in 15-minute increments, concurrent billing edits between 97153 and 97155, and place-of-service rules that vary by payer and state Medicaid plan, and our billers work those specifics daily.

Credentialing and Expirables Follow-Up

New BCBAs and RBTs cannot bill until payers say so, and in ABA that wait is measured in months of unbillable salary. We run credentialing and payer enrollment as a standing process: applications, CAQH upkeep, payer follow-up calls, and recredentialing calendars. Motivity’s credential tracking raises the flag when a certification or license is approaching expiration; our team is the one that answers it, chasing the renewal, collecting the document, and closing the loop before a lapsed credential blocks billing.

Session Note and Documentation Admin

We handle the administrative side of documentation without touching clinical judgment: reconciling completed sessions against documentation before billing runs, tracking unsigned or incomplete notes so claims are not held up, watching treatment plan review dates, and keeping consent and intake documents current. What the note says is your clinicians’ work; that the note exists, is signed, and matches the billed session is ours.

Reporting and Practice Admin

We run your operational reporting on a fixed calendar: authorization utilization by client, unbilled session reports, cancellation and no-show trends, RBT hour stability, and AR aging. Someone on our team owns that calendar, so a quiet leak, like a client under-delivering against authorized hours for six straight weeks, gets caught early instead of surfacing as a clawback question at reauthorization.

How Our Teams Train and Go Live on Motivity

Staffingly specialist working inside a client's Motivity system

Before anyone touches your production system, your team trains on your own SOPs plus Motivity’s published guidance for its practice management workflows, then works supervised alongside a senior team lead through go-live. Each account starts with a written runbook for your practice: which queues get worked at what time, what gets escalated, what stays strictly clinical-team-only, and what gets reported back each evening. A trained backup shadows the account from day one at no charge, so coverage does not hinge on a single person. Each specialist works under an individual HIPAA agreement with named Motivity credentials, never shared logins, and you can review our activity in your own system.

Why Staffingly

Why Outsource Motivity Admin Work, and Why Staffingly

One team for the whole practice.

Most vendors sell ABA billing alone. We staff the administrative surface of a Motivity practice end to end: intake, benefits, authorizations, scheduling, billing, credentialing follow-up, and reporting, so work stops falling between vendors.

Flat fee, never a percentage.

ABA billing services usually charge a percentage of collections, so their fee grows with your practice. Ours is a flat weekly fee per dedicated specialist, and every efficiency gain accrues to you.

ABA is our lane.

We publish our work in this specialty: a multi-site ABA reauthorizations engagement journal and a pediatric autism assessment scheduling success story, plus seven dedicated ABA service lines.

Speed with proof.

FAQ

Motivity Support Outsourcing: Frequently Asked Questions

What tasks can a virtual assistant handle for a Motivity practice?

Referral and intake coordination, ABA benefits verification, prior authorization submission and auth-units tracking, scheduling and cancellation backfill, claim work and denial follow-up, credentialing and expirables follow-up, unsigned note tracking, and operational reporting. The administrative work around Motivity’s clinical core, a trained remote assistant can own.

Do you touch our clinical programs or session data in Motivity?

No. Programs, targets, graphs, and session data stay entirely with your BCBAs and RBTs. We work the operational surface around the clinical layer, and that boundary is written into the SOW.

Can you outsource Motivity billing?

Yes. Dedicated billers handle charge review against completed session documentation, claim generation from Motivity’s practice management side, rejection and denial work, payment posting, AR aging, and patient responsibility, with daily production reporting.

How do you track authorization units?

Approved units are logged against each client, utilization is checked weekly against delivered sessions, and renewal packets start 30 or more days before expiration, so sessions stop running past authorized units and reauthorizations stop arriving late.

Can you keep our schedule full when clients cancel?

That is a core workflow. Cancellations get worked the same morning: makeup slots offered, waitlists called, RBT assignments rebalanced, and clients drifting below authorized hours flagged to your clinical leads.

How do your staff access our Motivity system?

Through named individual user accounts you approve, with role-based permissions scoped to administrative work. No shared logins, no offline exports of PHI, and you can review our activity in your own system.

How fast can a dedicated Motivity support team start?

Most teams go live in about 14 days: access setup, workflow training on your SOPs, then supervised production. The engagement starts with a 2-Week Free Trial.

Is outsourced Motivity admin work secure and HIPAA-ready?

HIPAA-trained staff, executed BAAs, workflows designed to support HIPAA compliance, SOC 2 Type II, ISO 27001:2022, and $5M in coverage. Full detail on our security page.
